Administrative Assistant


Part-time administrative assistant to perform a wide range of clerical duties in the Borough office. Duties include data entry, customer service, scanning,
imaging, attaching, filing, answering phones and processing mail and voice mail. Part-time position with potential to turn into permanent full time.

Classification: Part-time

Compensation: $18.50/hour for up to 28 hours/week. No benefits.

Supervision: This position is under the general guidance and direction of the Borough Manager and Council.

Description of Work:

  • Provide administrative assistance to the Borough Manager, ensuring smooth daily operations.
  • Act as the front office contact for residents seeking information about Borough services, offering assistance or appropriate referrals.
  • Welcome and professionally greet residents visiting the office, delivering relevant information and support.
  • Promptly respond to phone calls, website inquiries, emails, postal mail, and other forms of correspondence.
  • Process requests and issue various permits and certificates, including trash lien certificates, yard sale permits, alarm permits, and expired on-lot septic notices.
  • Monitor development escrow accounts, issuing notices to replenish funds when balances fall below required levels.
  • Utilize computer applications efficiently, including Microsoft Word, Excel, PowerPoint, Canva, Office 365, and Zoom.
  • Organize and maintain a calendar of appointments, meetings, and other Borough events.
  • Maintain organized files and databases, and compile data to generate simple reports.
  • Assist the Zoning Department with enforcement and compliance tasks.
  • Prepare documents, meeting materials, and correspondence for all Borough meetings.
  • Update and make routine changes to website content to ensure information is current and accurate.
  • Record, prepare, and distribute meeting minutes for various Borough meetings.
  • Compose and edit written communications to ensure clarity and professionalism.
  • Manage inventory, order and purchase office supplies, arrange equipment maintenance, and process work orders for facilities repairs and needs.
  • Perform related tasks and responsibilities as assigned to support Borough operations.

Essential Functions:

  • Read, write, and speak clearly.
  • Communicate effectively by oral, written, and electronic means.
  • Use standard office equipment such as a laptop computer, telephone, printer/scanner/copier, letter opener, stapler, laminator.
  • Maneuver safely around objects such as tables, chairs, boxes.
  • Speak with residents who express concerns over local issues such as pot holes, short-term rentals, and other issues. When situation escalates be able to defer resident to department head or Borough Manager.
  • Sit, stand, walk, bend, kneel, stoop, reach, crawl, twist, and climb; lift and carry up to 35 pounds.

Required Experience, Training & Eligibility Qualifications:

  • Preference will be given to residents of Monroe County.

Minimum Experience and Training Requirements:

  • One year of office work and demonstration of professional office etiquette; some training will be provided.
  • Must have a valid driver’s license with a good driving record.
  • Must be able to work inside sitting down for long periods of time.
  • Must have at least an Associate’s Degree.
  • Must be able to problem solve and take initiative.
  • Must be able to perform essential job functions.
  • Must have reliable transportation in order to commute to work on time.
